All abstracts go through a review by our program committee. Selected presenters will be notified on a rolling basis but no later than January 27, 2025, giving ample time for preparation. Abstracts not selected for talks will automatically be accepted as posters.
Maximum poster size is 1 meter by 1 meter (3.3 ft. x 3.3 ft.) or (39 inches x 39 inches). Oversized posters cannot be accommodated. Poster Board and push pins/adhesive will be provided at the meeting.
Cloth and vinyl posters can be folded and placed in luggage.
Text and figures should be legible 3-5 feet away. Sans Serif fonts are more legible from a distance.
Avoid excessive text and organize text using bullet points.
Light background with dark-colored text is easier to read.
Use visual aids and graphics appropriate to information you are presenting.
Graphics should be high resolution.
Consider including a QR code to link to further information about your research.
All trainees must present their work as either a talk or poster as the cost of Rosetta Commons subsidizing their attendance.
For sessions that you have registered for, meals listed on the conference agenda are included.
Please provide your dietary restrictions and food allergies during registration, such as vegetarian, vegan, gluten-free, or allergies, so we can provide that information to the caterer in advance of menu preparation. The deadline for notification is January 29, 2025. We put significant effort into ensuring your food needs are taken care of; please let us know of any requirements during registration.

The Rosetta Commons will organize lodging at the Boston Marriott Cambridge Hotel for attendees from Rosetta Commons member labs and non-member academic attendees that purchase lodging. Please indicate the nights you’ll need lodging for on the registration form. For all other attendees, a discount booking code is available on the Venue page of the website. We recommend booking as soon as possible to ensure room availability at the conference rate.
New for WRC 2025: Attendees preferring their own room can purchase an upgrade through the registration portal. The Commons will pay for your bed - you pay for the empty one.
Check-in is on Feb. 26, and check-out is on Feb. 28. Early arrivals and late departures will not be accommodated (except for international travelers [see Flights for info]). Keynote Speakers will be provided a private room, and PIs will be provided with a private room based on availability.
Flights
Please plan to land at Boston Logan Airport at least 90 minutes before the conference begins.
Plan to depart no earlier than two hours after the end of the conference or conference activities to avoid missing any sessions.
For travel grant recipients only: flights are covered when booked through the provided travel agent. Cost controls on flights have been put in place so that we can offer more travel grants. The travel policy for Winter RosettaCon 2025 is:
Round-trip bookings only. Only legs between Boston and your home city will be covered if you seek to book 3-way travel.
International: The air travel window is within 2 days of the conference for international travelers. International travelers can arrive the day before the conference starts (February 25, 2025).
Domestic: The air travel window is within 1 day of the conference for domestic travelers. Domestic travelers must arrive on or after the conference start date.

Visa Letters
If you need a letter of invitation to apply for a U.S. travel visa, find instructions HERE. Please request the letter in time to receive the visa. Check the local approval times before registering.
Registration for WRC will run through the Nunify conference app, which will also be used for regular conference communication. Download the app on your phone and create an account on Nunify. All information will be available here on the website as well, with a slight delay. You can find Nunify in the Apple Store or Google Play Store.
